Japanese Society of Plant Physiologists Approved at the Council Meeting held on March 27, 2003 Partial revision approved at the Council Meeting held on March 24, 2005 |

The Japanese Society of Plant Physiologists (JSPP) has established guidelines governing the handling of personal information (a privacy policy) to ensure the protection of the personal information of its members as well as non-members who participate in JSPP activities. In addition to complying with all Japanese laws and other standards regarding the protection of personal information, the JSPP will strive to conduct ongoing reviews of the content of this privacy policy and to revise it as necessary.

Collecting Personal Information The JSPP only collects personal information regarding its members and non-members who participate in JSPP activities as is necessary for conducting events or activities that are consistent with the JSPP's goals. The JSPP uses only legal and fair methods of collecting information, and clearly states the purpose for which information is collected. The amount of personal information collected is limited to that necessary for achieving the goals of a particular event or activity.

Use of Personal Information Personal information collected by the JSPP is used only as necessary for achieving the goals of a particular event or activity. The JSPP will respect the wishes of the person providing personal information. Personal information collected by the JSPP may be made available to services providers hired by the JSPP when it is reasonable to do so for the services being performed. We may, in the event of either a legal request for the disclosure of personal information or in emergencies, where the President or Secretary General of the JSPP deem it necessary, share personal information for uses other than the purpose for which it was collected.

Management of Personal Information The JSPP will keep the personal information it collects as accurate and up-to-date as possible, and will take appropriate measures to prevent it from being lost, destroyed, falsified, or disclosed to a third party. When an outside service provider is used to manage personal information, the JSPP will require the service provider to sign a contract stating that they will not use the information for purposes other than those for which they have been hired or disclose the information to a third party.

Members' Responsibilities JSPP Members understand and agree with this privacy policy and are responsible for protecting their own personal information, as well as that of other members. Members are responsible for guarding membership lists and other material including personal information in order that it is not distributed to any third party.

Disclosure, Removal, and Revision of Personal Information The JSPP will respond promptly to requests from members to have their personal information disclosed to them, and likewise will respond promptly to requests to have that personal information removed or revised.
